Enrolment for On-Campus Students

To Accept An Offer

Completing all the enrolment requirements including enrolling in units by the date specified for enrolment in your offer letter will constitute an acceptance of the offer you have been made.

Domestic PhD or Masters by Research Applicants: Have up to one month from the date of offer to complete enrolment.

International PhD or Masters by Research Applicants: Have up to six months from the date of offer to complete enrolment.

To Refuse An Offer

Simply do not take any further action.

Failure to Enrol

If you do not enrol at the time specified in the offer letter it will be assumed that you do not want to accept the offer.

Enrolment Sessions

Your faculty will provide you with the details of the day, time and venue of your enrolment session.  If you are doing a double degree you may be required to attend sessions by both faculties.  At these sessions you will be provided with information to assist you in selecting and enrolling in units for your course.  You will also be advised if your faculty wants you to enrol in units online.

Proxy Enrolment

If you cannot attend the university in person to enrol, contact your faculty to see if a proxy should attend.  A proxy is a relative or friend authorised to act on your behalf to complete the academic requirements of enrolment. If you do not have anyone who can act as a proxy then you should contact the faculty that administers your course. International students studying on a student visa are not permitted to enrol via proxy and must register and enrol in person.

Your proxy:

  • must bring two copies of the 'Authorisation for Proxy Enrolment' form signed by you and your proxy
  • a list of units you seek to undertake
  • must retain any documents given out during enrolment.
  • as per the Higher Education Support Act 2003 a proxy cannot complete or sign a 'Request for Commonwealth Support and HECS-HELP' form or a 'Request for FEE-HELP form' unless they also have Power of Attorney.
  • will be given a letter specifying details of what enrolment procedures must still be completed by the student.

NOTE: Your proxy cannot complete any of the administrative components of your enrolment on your behalf (e.g set up authcate account, complete the compulsory Enrolment Questionnaire required by the government, or obtain a student ID card). NOTE: All students can complete the administrative requirements online via WES  apart from obtaining a student ID card.

What to Bring

  • Offer letter, enrolment pack and pen
  • WES  transaction numbers for Enrolment Questionnaire and ‘Request for Commonwealth Support and HECS –HELP’ form (Commonwealth Supported Place students only) if completed via WES.
  • certified copies of academic trasncript, course and unit outlines for the year studied including unit synopsis, assessment, contact hours, textbooks used, etc., if applying ing for credit transfer or recognition of prior learning.
  • in addition to the above documents proxies should also bring the completed ‘Authorisation of Proxy Enrolment’ form (original and photocopy).
  • a photo ID

When to Arrive

The offer letter will indicate the day, time and location of your enrolment. Aim to arrive approximately 15 minutes before in order to allow time for parking and finding your faculty enrolment session venue.

Enrolment Duration

Duration of enrolment will vary from course to course. It depends on the complexity of course advice and structure and, if applicable, the assessment of application for credit transfer and/or recognition of prior learning. Please allow 2-3 hrs.

How to Speed up Enrolment

All Monash students are provided with an IT account at the point of offer into a course. It consists of a username and password and is called an authcate account. It provides access to electronic services such as internet, email, the My.Monash portal, library and the Web Enrolment System (WES).

You should:

  • Activate your Monash University authcate account. Click on 'Register for New Account' and you will be able to get your authcate account.
  • Log into WES to complete some of the enrolment requirements. Your authcate username, password and date of birth or name of the street in your address are required for login.
  • Check that your postal address details are correct and amend if necessary.
  • Register an emergency contact person.
  • Complete the Enrolment Questionnaire.
  • If you have been offered a Commonwealth Supported Place (CSP) (refer to your offer letter) you can complete an on-line ‘Request for Commonwealth Support and HECS-HELP’ form.

Be sure to click the 'Submit' button and you will be given a transaction number for each form that you have successfully completed. If you do not receive a transaction number you have not successfully completed the relevant form.

Familiarise yourself with the course outlines in the faculty handbooks.

Post Enrolment Sessions

Go to the Campus Enrolment Centre and show one of the following documents to the staff:

  • printout of transaction numbers (if you completed the Enrolment Questionnaire and CSP HECS-HELP form or enrolled in units online), or
  • Stamped Course Enrolment Form or Manual Enrolment Slip

If you have not activated your authcate account or completed the Enrolment Questionnaire (all students) and the CSP-HECS-HELP form (CSP students) online via WES, staff will direct you to a computer to do them.  CSP students who intend to choose either the deferred or partial payment option should bring their TFN.

Student ID Card: If you have completed all the enrolment requirements you will be directed to have your photo taken to obtain a Student ID card.  You need to show a photo ID before the card can be produced.

Orientation

Monash University conducts orientation in Semester 1 and 2.

Orientation Week is always held just before semester start, and is a week long hive of activity designed to get you oriented to your university, your campus, your faculty and your course.  Some activities are for all students, others are designed for particular groups - the most important thing is to turn up and join in - if in doubt, check it out.  This initial experience will help promote a sense of belonging, an important aspect of the partnership you will form with the university.

Payment of Fees

Within two weeks of enrolling an email will be sent to your Monash student email account informing you that your fees have been assessed and your ‘Enrolment Details and Fee Statement’ is now available to view and print online.  The invoice will outline your course and unit enrolment details and the applicable fees and payment date. Monash Email Account

You will need to use your authcate account to access your Monash email account. Your Monash email account will be activated once your faculty has enrolled you into units.

The University will use your Monash email account to communicate and provide documentation to you. You must access your Monash email account at least once a week. The University will only send emails to your Monash email account and not to personal ISP email accounts. When you communicate with the University via email it must be from your Monash email account.
